📝Why Adding Comments to a PDF Is More Useful Than Most People Think

I used to route documents for review by printing them, writing on them in red pen, scanning them back, and emailing the scan. It took about 25 minutes per document and the resulting scan was always slightly crooked. The first time I saw someone add a sticky note directly to a PDF and send it back in 2 minutes, I felt genuinely embarrassed about my workflow.

PDF annotations — including sticky notes — are a formal part of the PDF specification. According to Adobe's PDF 32000 standard, text annotations (what most people call sticky notes) are defined as popup objects associated with a position on a page. They store the comment text, the author name, a timestamp, and a colour flag. Every PDF viewer — Adobe Reader, Foxit, Apple Preview, Chrome's built-in viewer — renders them as the familiar note icon, and clicking it opens the comment text.

This tool embeds those standard annotations using pdf-lib, an open-source JavaScript library for PDF manipulation. You click anywhere on a page, type your comment, and that annotation is written into the PDF file structure. The original content of the page is completely untouched — the note sits in an annotation layer on top. Open the downloaded file in any PDF reader and the sticky note will be exactly where you placed it.

4

When your comments are in place, click Download. The PDF includes all your annotations as standard sticky notes, readable in any PDF viewer worldwide.

💡Tips for Effective PDF Commenting

  • Use colour coding for different reviewers or types of feedback: Yellow for general comments, red for critical issues, green for approval notes, blue for questions. When multiple people are annotating the same document, colour coding makes it easy to identify who said what at a glance — without even opening the note.
  • Always fill in the Author field: In a review workflow involving more than one person, unlabelled notes are frustrating. If you're reviewing a supplier contract and leave 12 sticky notes with no author, whoever gets the document next has to guess which department the comments came from. Takes 5 seconds to type your name and saves real confusion later.
  • Be specific in the comment text: "Fix this" is a useless annotation. "Change the payment terms from Net 60 to Net 30 — confirmed with finance on 12 April" is useful. The more specific the note, the less back-and-forth is needed to action it.
  • Place notes near the relevant content: Drag your click to land the note icon close to the text or image you're commenting on. Readers scan the page for the icon — if it's positioned near the relevant content, they understand the context immediately without having to search.
  • Use the notes list panel to review before downloading: The notes list at the bottom of the editor shows every comment across all pages. Scan through it before hitting download to make sure you haven't missed anything or left a test note you didn't mean to keep.

Frequently Asked Questions

Is the PDF comment tool free? +
Yes, completely free. No signup, no subscription, no watermarks on the output. Upload your PDF, add as many sticky notes as you need, and download — all at no cost.
Do my files get uploaded to a server? +
No. Everything runs in your browser. Your PDF is never sent to any server — pdf.js renders the pages locally, pdf-lib writes the annotations locally, and the download happens directly from your browser memory.
Can the people I share the PDF with see and open the sticky notes? +
Yes. The tool embeds standard PDF text annotation objects that are recognised by Adobe Reader, Foxit, Preview on Mac, Chrome's PDF viewer, and virtually every other PDF reader. Recipients can click the note icon to read the comment text.
Can I add comments to multiple pages? +
Yes. Navigate between pages using the thumbnail strip on the left. You can place notes on any page, and the notes list at the bottom shows all comments across all pages in one view before you download.
Can I edit or delete a comment after placing it? +
Yes. Before downloading, click any sticky note icon on the page to reopen it and edit the text or delete the note entirely. You can also delete notes from the notes list panel.
What colours are available for sticky notes? +
Six colours are available: yellow (default), blue, green, red, purple, and orange. Each colour maps to a standard PDF annotation colour value, so it renders correctly in other PDF viewers and not just as a generic icon.
