๐ŸงพWhy I Built a Free Invoice Generator (and What I Got Wrong the First Time)

When I first went freelance about five years ago, I spent an embarrassing amount of time on invoicing. My first few invoices were Word documents that I'd copy and paste, manually change the date and number, then export to PDF. It worked, I guess, but I'd inevitably forget to update the invoice number, or send it before adding the correct tax rate, or save over an old invoice by accident.

Then I tried a few of the well-known invoicing platforms. Most of them want a credit card even for the free tier. The ones that are actually free either put their watermark on your invoices (which looks unprofessional), limit you to a certain number per month, or require you to create an account and confirm your email and set up a profile and... I just wanted to make an invoice. I had a client waiting.

That frustration is exactly why this tool exists. You fill in your details, add your line items, and click download. No account. No watermark. No storage of your client's billing information on any server. The entire thing happens in your browser. Your invoice data goes nowhere except into the PDF on your own machine.

๐Ÿ’กTips for Professional Invoices That Actually Get Paid

I've sent hundreds of invoices over the years and picked up a few things that genuinely make a difference โ€” not just in how professional they look, but in how quickly clients pay them.

  • Always include a due date, not just payment terms: "Net 30" is technically clear, but clients still manage to lose track of it. Putting an explicit due date like "Due: April 14, 2026" takes away any ambiguity. I noticed my average payment time dropped about 4 days when I switched to explicit due dates. Small thing, real difference.
  • Be specific in your line item descriptions: "Design work โ€“ March" is worse than "Website homepage redesign โ€” 3 rounds of revisions, delivered March 28." The specific description makes it harder for clients to question the charge. It also makes your invoice useful as a paper trail if there's ever a dispute.
  • Include payment instructions right on the invoice: Don't make clients chase you for your bank details. Put your account number, IBAN, or payment link directly in the notes section. Every extra step between a client deciding to pay and actually paying increases the chance of delay.
  • Use your logo even if it's simple: A basic logo โ€” even just your initials in a clean font โ€” looks significantly more professional than no logo at all. Clients take invoices with branding more seriously. It signals you're a real business, not a fly-by-night operation.
  • Number your invoices consistently: Use a format like INV-2026-001, INV-2026-002, and so on. This helps you track payments in your own records and it helps clients match invoices to payments when they send remittances. I learned this the hard way after having three separate "Invoice 1" documents for three different clients.
  • Send it as a PDF, not a Word file: This should be obvious but I've seen freelancers send .docx invoices. PDFs look the same on every device, can't be accidentally edited, and feel more final and official. This tool generates PDF directly, so you're already set.

โ“Questions People Ask About This Invoice Generator

Is there really no watermark on the PDF? +
Really, none. A lot of free invoice tools add "Created with [Tool Name]" in the footer or a small badge somewhere. I find that embarrassing to send to clients so this tool doesn't do it. The generated PDF is completely clean โ€” your business name, your client's details, your line items. Nothing else. It's ready to send the moment you download it.
Is my invoice data saved anywhere? +
Your invoice data is not sent to any server. The entire tool runs in your browser โ€” the form fields, the calculations, the PDF generation. Your business name, client details, bank information, and line items exist only in your browser tab while you're using the tool. Your business details (name, address, email) are saved in your browser's local storage so they auto-fill next time you visit. That data stays on your own device. The PDF itself is generated locally and downloaded directly to your computer.
Can I add my company logo to the invoice? +
Yes โ€” click the logo upload area and select a PNG, JPG, or SVG file. Your logo appears in the top-left of the invoice. It's stored temporarily in your browser session and never uploaded to any server. For best results, use a logo with a transparent or white background. If your logo file is dark on a dark background it might not show up well, so white background PNG files tend to work best.
How do I add multiple tax rates or taxes? +
The current version supports a single tax rate applied to the whole invoice. If you need to split tax across multiple items at different rates, the simplest workaround is to calculate the tax manually and add it as a separate line item with a description like "VAT 5% on services." A more robust tax breakdown is something I'm considering adding โ€” if you need it, drop feedback using the thumbs down on any response and mention invoice tax features.
Can I save invoice templates for reuse? +
Your business details (name, address, email, phone) are saved in your browser's local storage and auto-fill the next time you visit. Line items, client details, and invoice-specific fields like number and date don't save โ€” each invoice is its own thing. For repeat clients, the fastest workflow is to keep the downloaded PDF from a previous invoice as a reference and re-enter the details, which only takes about 2 minutes with auto-filled business info.
What currencies does the invoice generator support? +
The dropdown includes USD, EUR, GBP, AED, SAR, INR, AUD, CAD, and JPY. Each currency symbol appears before the amounts in the invoice. If you need a currency that's not in the list, just select the closest option and the symbol will appear โ€” the invoice itself is just a document, so you could also note the currency in the invoice description or notes section. I may add more currencies based on which ones people ask for most.
